The conversation can be over before every recording file has reached its destination. Closing the room too early may interrupt the final upload. Build a small completion routine into the end of the interview instead of treating the stop button as the last step.

Explain the last minute at the start

Tell guests that they may need to leave the recording page open after the conversation stops. This is easier to arrange before someone is rushing to another call. Explain what completion looks like in the actual recording tool: a saved file, an uploaded track or another documented status.

When the host stops the take, ask each guest to check their own screen. Do not assume that the host's finished status means every participant's device has finished. Transfer time can differ between devices and connections.

Keep a short list of expected tracks. For a host and two guests, list all three names and check them individually. If a participant did not speak or chose not to continue, record that fact rather than quietly accepting an unexplained missing track.

Verify before cleanup

Open the available recordings and compare their durations with the session. Listen to the last exchange. A complete opening with a missing ending can look normal in a file list.

If a track is still transferring, avoid repeated refreshes or new sessions. Use the tool's documented retry path. Ask the guest to stay on a stable connection and keep the device awake until the status is clear.

Save the completed files and session notes together. Only then tell participants they can close the page. This routine takes little explanation and prevents a common handoff mistake.
